VectorXPro makes Vector Engineer, an app on the web, iPhone and iPad that companies use to run stage-gate engineering projects: who owes what, by when, what it depends on, and who signed it off. This policy explains what information Vector Engineer handles, why, and the choices you have. Questions: support@vectorxpro.com.

Who controls your information

Vector Engineer is used by companies, such as your employer or a customer who asked you for work. The company invites its people, decides what is recorded, and controls its records. VectorXPro stores and processes that information on the company's behalf. For questions about a company's records, you can also ask its Vector Engineer admin.

What Vector Engineer collects

InformationExamplesWhy
AccountName, email address, job title, team, who you report to, and your roles (such as admin, leadership or gate-process owner)To sign you in, show who did what, decide what you can see, and route work to the right people
Work recordsProjects, gates, deliverables, requested and promised dates, working time, checklists, slips and their reasons, signatures, gate decisions, defects, and who made each change and whenThis is the service: the record the company keeps
FilesWork products attached to a deliverable (drawings, analyses, reports, photographs), by versionTo show exactly what was delivered and what each signature covers
People outside the companyThe name, company and email address of a supplier or other outsider the company asks for work; their answers, the files they add, and when their link was sent and last openedSo they can answer one request by email, without an account, and so the company can see where it stands

Vector Engineer has no advertising, sells no information, and does not track you across other companies' apps or websites. On the web it keeps your sign-in in your browser so you stay signed in; it uses no advertising or analytics cookies.

Who processes it for us

People outside the company

When a company asks you for work by email, it gives us your name, email address and company. The link in the email opens one deliverable and nothing else. The secret in the link is stored only in a scrambled form (a SHA-256 hash). What you send (your answer, your files, your notes) becomes part of that company's record for that project, seen by the people on it and their managers. The link stops working when the work is signed off, passed to someone else, withdrawn, or stopped by the company, and when a newer link is sent. To have your details corrected or removed, ask the company that contacted you, or write to us.

How long it's kept, and why some of it can't be edited

Vector Engineer is built so that a company's record can be trusted: history is never rewritten, a signature covers exactly the version it was made on, a signed version can't be changed, and a withdrawn file stays on the record marked as withdrawn. Records are kept for as long as the company uses Vector Engineer. When a company closes its account, its records and files are deleted in accordance with applicable law, so a company should export what it needs first (the reports download as Excel workbooks).

Your choices

Security

Data travels over encrypted connections. Each company's records are kept separate, and the database itself decides who may see and change what, for every screen and every app. Files are stored privately and opened through short-lived links.

Children

Vector Engineer is a workplace tool and is not intended for anyone under 16.

Changes

If this policy changes, the date above changes, and significant changes will be announced in the app.
