Terms of Service
Vector Operations Pro · Draft of 2 October 2026 · Ask us for the current version.
These terms are the agreement between VectorXPro LLC, a Kansas limited liability company ("VectorXPro", "we"), and the organization that subscribes to Vector Operations Pro ("Customer", "you"). They cover the iPhone and iPad app, the website at vectorxpro.com, and the related services (together, "Vector"). The person accepting them confirms they may bind the Customer.
1. The service
Vector lets an organization run audits and walks, assign and track corrective work, keep evidence, and produce evidence packs. We provide Vector as a hosted service and may improve it over time. We will not remove a core function you rely on (walks, items, evidence, packs, the protected record) without at least 60 days' notice.
2. Accounts and your users
You decide who is invited and what role they have. You are responsible for your users' use of Vector and for keeping sign-in details private. People who only receive emails from Vector (for example escalation notices or audit notices) are not users. Contractors you invite act on your behalf.
3. Subscription, price and payment
- Vector is billed per site, at the band for the number of people who sign in at that site, monthly or yearly, at the prices on vectorxpro.com/pricing or in your order.
- Subscriptions start with a 30-day free trial and then renew automatically for the same term until cancelled. Payment is by card through Stripe, or by invoice if we agree.
- If a site grows into the next band, we tell you first and the new band applies from your next billing date. We do not back-bill.
- Founding-customer pricing applies for the period stated in your order.
- Prices exclude taxes, which are added where the law requires.
- We may change prices for future terms with at least 60 days' notice; your current term keeps its price.
4. Cancelling, and what happens to your records
You can cancel at any time from your billing page; the subscription ends at the end of the period already paid for, with no further charge. If payment stops, Vector becomes read-only: everything recorded stays readable and every evidence pack can still be printed or saved. We do not hold your records hostage.
If you close your organization's account, we delete its records and files as described in the Privacy Policy. Save the evidence packs you need first; we will help you export them on request.
5. Your data
Everything your organization records in Vector is yours. You give us permission to store and process it only to provide, secure and support Vector for you. We do not sell it, use it for advertising, or use it to train AI models. Our Data Processing Agreement forms part of these terms, and our Security & Trust page describes how we protect it.
Because Vector's purpose is a record that can be trusted, submitted walks, notes and closures cannot be edited after the fact, and each change is recorded. You agree this is how the service is meant to work.
6. Acceptable use
Don't use Vector to break the law, to store information it isn't designed for (such as health records, payment card numbers or government ID numbers), to try to reach another organization's data, to overload or attack the service, or to resell it without our agreement.
7. Availability and support
We aim to keep Vector available around the clock, apart from planned maintenance, which we schedule outside normal U.S. working hours where we can. Support is by email at support@vectorxpro.com; we answer on U.S. business days. Vector is not designed for emergency or life-safety alerting; never rely on it in place of your emergency procedures.
8. Confidentiality
Each of us keeps the other's non-public information confidential, uses it only for this agreement, and protects it with reasonable care. This does not cover information that is public, already known, independently developed, or that the law requires to be disclosed.
9. Our intellectual property
Vector, its software, design and starter content belong to VectorXPro. You may use them while subscribed. Programs and checklists you write are yours. If you send us suggestions, we may use them without obligation.
10. Warranties
We will provide Vector with reasonable skill and care and in line with these terms and our published security commitments. Otherwise, Vector is provided "as is". Vector helps you record and track work; it does not make your workplace compliant on its own, and you remain responsible for your safety and regulatory obligations.
11. Liability
Neither of us is liable for indirect or consequential losses, or for lost profits, revenue or data beyond what the law does not allow to be excluded. Each party's total liability under this agreement is limited to the fees paid or payable by the Customer in the 12 months before the claim. These limits do not apply to a party's obligations of confidentiality, to the Customer's payment obligations, or to liability that cannot be limited by law.
12. Changes to these terms
We may update these terms. We will give at least 30 days' notice of a material change by email to your Organization Admins; the updated terms apply from your next renewal.
13. General
Kansas law governs these terms, and the courts of Saline County, Kansas have jurisdiction. Neither of us is responsible for delays caused by events outside reasonable control. If any part is unenforceable, the rest stays in force. An order form or signed agreement between us overrides these terms where they differ.
