Ask a supplier or another department for work, by email. On the web.
Ask someone outside
1On the web, choose “+ New deliverable”, or “Request what I need”.
2Under Owner (or From), pick someone under Outside the company, or “Someone new outside the company…” and type their name, email and, if you like, their company.
3Fill in the rest as usual. You sign it complete unless you pick someone else.
4Choose “Send request by email”.
They don't need a Vector account and don't use a seat. Outside contacts are shared with the company's other Vector apps. If someone declines, “Ask someone else…” can pass the work to an outside contact too.
What they can do
Their email has a link to this one deliverable and nothing else. From it they accept with their working time, propose another date, ask a question or decline. Once accepted, they add their files as versions and submit for sign-off.
You answer for it
Whoever asked answers for outside work inside the company. Their moves show on My Work under Outside work I answer for. You tick the definition of done after checking their files, and “Answer for…” lets you act for them, for example if they replied by phone.
The link
Each deliverable has one working link. It closes when the work is signed off, goes to someone else, or is withdrawn. The Outside the company card on the deliverable shows when it was emailed and last opened. The person who asked, or someone who manages the team, can “Send the link again” (the old one stops working) or “Stop the link…”.
Handing someone's work on moves the outside work they answer for, too.
